  • Graduation from high school and demonstrated possession of knowledge, skills, and abilities gained through at least three years of office assistant/secretarial experience;

All diplomas or degrees must be received from appropriately accredited institutions. License/Certification RequiredEssential Job FunctionsDuties and responsibilities of the position include but are not limited to the following:
  • Route visitors and callers in a friendly, professional manner.
  • Collaborate with others to ensure a seamless and pleasant experience for students, parents, and other visitors.
  • Complete all purchasing and travel authorization forms for Assistant Vice Provost (AVP) and direct reports.
  • Assist with events, staff retreats, and meetings.
  • Database management of specific student populations.
  • Maintain inventory of office supplies.
  • Process physical plant and technical support requests.
  • Departmental P-Card reconciler and Yomart.
  • Oversee (including reconciling, reporting, and shadowing) department budgets for the Assistant Vice Provost and programs reporting to the AVP.
  • Scheduling one-on-one meetings, committee meetings, and other scheduling requests.
  • Supervise student employees (both undergrad and graduate), including student payroll and scheduling in AVP office and programs reporting to AVP if needed.
  • Archiving of student records, budget records, office records, etc.
  • Attend and take minutes for committees chaired by AVP and directors.
Knowledge, Skills, & Abilities Required for this Position Knowledge of policies, procedures, and precedents affecting programs within the office and at Appalachian State University. Computer skills in Microsoft Office and website management programs. Excellent written, verbal and interpersonal communication skills. Ability to practice effective communication techniques, both orally and in writing; self-starter with initiative; ability to establish and maintain effective working relationships with staff and other members of the organization. Ability to assess needs and ensure assistance is appropriate to the situation and enhance collaboration among individuals and groups. Ability to work with all programs within the office. Ability to work with the public is essential. Preferred Qualifications

  • Familiarity with travel policies, forms and budgets within a community college or university setting
  • High level of comfort with university programs such as the Banner Student module

Use of a stepladder may be required when dealing with supplies storage and retrieval. Requires extensive use of computers. Communication-Verbal: Communicates information clearly to students, faculty, parents, staff, and administrators about services, processes, and procedures using prescribed or established guidelines. Applies judgment in releasing confidential information or to whom to refer questions. Communication-Written: Composes and organizes ideas logically, works in multiple formats such as letters, memos, or reports. Reviews sensitive student records information and edits with updated information accurately. For example: grades, memos, and advising notes.
