Hybrid Work Environment

The University of Minnesota is seeking a highly motivated and organized Sr. Finance Specialist to support the University Finance organization, which includes the Assistant VP of Finance, Controller's Office, and other central finance units.

The Sr. Finance Specialist position is an integral member of the University Finance support team. This position will be responsible for finance management functions that focus on budgeting, reporting and forecasting, transaction support and approval, and reconciliation for assigned units. As the Sr. Finance Specialist supporting University Finance, you will act as a trusted advisor to senior leaders and managers by providing guidance on both routine and complex financial matters. This position contributes to process improvements for budget development, ongoing reporting, and other important initiatives and projects. Reports to and frequently partners with the Chief Financial Manager (CFM) on strategic initiatives.

Ideal candidates demonstrate a strong understanding of financial planning & analysis methodologies, communication styles, and strategic thinking. Strong attention to detail, the ability to interact with internal customers with diverse levels of financial knowledge, tact and diplomacy, and a well-developed sense of prioritization are essential to being successful in this role.

Salary Range: Between $71,000 and $80,000, depending on qualifications. Much of this position may be performed remotely while specific tasks and some meetings will require on-campus presence.

Responsibilities include but are not limited to:

40% Clustered Finance Administration & Operations

  • Primary support for financial transactions, including journal entries - year-end, transfers, and budget adjustments; Purchasing Card reconciliation; departmental deposits; Support all units with transaction research, follow up, and policy guidance.
  • Review and approve all financial documents (i.e. requisitions, vouchers, reimbursements, PCards, and journal entries) with consideration to fund availability and budget plan.
  • Serve as the information source/point of contact for department staff; assist, advise and train them on accounting policies and procedures related to purchasing, procurement cards, contract for professional services, travel expense reimbursements, and vouchers.

40% Financial Planning and Analysis

  • Assist the Chief Financial Manager with expense and revenue forecasting throughout the fiscal year, including but not limited to:
    • Maintain, improve, or create reporting files that support the budgeting process.
    • Meet with Unit Directors to discuss annual budget needs and changes.
    • Analyze budgets and financial information for historical trends and current business needs; Make recommendations based on data.
    • Develop annual Preliminary Budget Development Worksheet and Detailed Budget models in conjunction with departmental leadership.
    • Complete budget entry in PeopleSoft.
  • Create quarterly financial reports for management and meet with Unit Directors to discuss projections and trends within reports versus budget.
  • Facilitate conversations and provide guidance to unit leadership regarding financial position and potential funding needs.
  • Analyze financial data for anomalies, identify gaps in revenue and/or expenses, investigate and recommend solutions.
  • Coordinate year-end closeout of operational budgets.
  • Reconcile resources and expenses to the ledger, audit for errors, investigate discrepancies, and request correcting journal entries.
  • Monitor transactions for compliance and correct use of account strings.
  • Ensure policies and procedures are followed for all transactions.
  • Recommend process changes based on individual unit practices. Work with staff and management to communicate policy and procedures and recommend changes as necessary to improve on efficiencies or cut costs.

10% Strategic Project Support

  • Support the Chief Financial Manager with strategic projects for University Finance. Duties may include research, analysis, presentation preparation, and process implementation.

10% Administrative Support

  • Receive and sort mail for the Controller's Office.
  • Invoice printing and mailing for the Accounts Receivable department.
  • Review and manage the Delegations of Authority system.
  • Act as primary Department Facility Representative (DFR).
  • Other duties as assigned.
