Department Information
The Department of Pathology and Laboratory Medicine at Indiana University and IU Health Physicians is comprised of over 250 individuals working together to achieve success in fulfilling the tripartite mission. The department has over 100 faculty members with a primary appointment in pathology. Pathology works in conjunction with IU Health System Laboratory Services, and operation comprised of over 1,200 employees.
Job Summary
Department-Specific Responsibilities
- Serves as the senior administrative coordinator supervisor for the department of pathology.
- Supervises a staff of 6-8 administrative support professionals. Provides real time feedback on performance and has performance conversations when needed.
- Holds weekly meetings to establish priorities and discuss the needs of the business with direct reports.
- Establishes job duties and assignments for the administrative support roles in IUHPL.
- Completes administrative support needs assessments and uses data to determine when additional effort needs to be added to the team.
- Manages expectations between faculty and administrative support staff and navigates difficult conversations between the parties.
- Acts as payroll supervisor for the administrative team.
- Performs annual evaluations for the administrative team.
- Establishes standard operating procedures and sets up training for all members of the team.
- Develops and executes a strategy for admin staff to cover absences, vacations, and leaves.
- Manages the IU IUHP engagement budget for the IU Health Pathology Lab, hospitality budgets for recruitments, and ensures the travel policies are upheld.
- Liaises for the chair of the department of pathology. The chair oversees operations for 18 hospitals within IUH, Eskenazi, and the VA.
- Navigates a highly matrixed and highly complex operating environment across the tripartite mission.
- Delegates administrative work for the chair appropriately to ensure all aspects of the tripartite mission are executed in timely fashion by those at the appropriate level to complete the work.
- Runs the annual faculty review process.
- Synthesizes data from various locations into Power Point decks for presentations. Edits, reviews, and re-writes documents for the executive leadership team.
- Serves as another authorized position to plan and execute large events for the department such as lab week, coffee days, smoothie days, large conferences, and other large business meetings.
General Responsibilities
- Manages the day-to-day operations of a variety of office services to ensure the organization's administrative needs are met.
- Collaborates with managers to ensure office administration policies, programs, and activities are appropriate for their needs.
- Leads, directs, evaluates, and develops a team of para-professional staff.
- Researches, evaluates, and recommends purchases and utilization of resources to minimize costs, manage budgets, and meet the organization's business needs.
- May oversees billing and accounts and other administrative services, ensuring work flow efficiencies, adequate resources, and coordination of administrative services.

EDUCATION
Required
- Bachelor's degree in a relevant field.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.
