Job Responsibility:
Summary: Responsible for managing and coordinating activities of staff, convention personnel, or clients to make arrangements for group meetings, events, or conventions by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
1. Consults with customers to determine objectives and requirements for events, such as meetings, conferences, and conventions.
2. Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
3. Confers with staff at a chosen event site to coordinate details.
4. Cross-serves and/or assists team members on an as-needed basis.
5. Reviews event bills for accuracy and approve payment.
6. Plans and develops programs, agendas, budgets, and services according to customer requirements.
7. Coordinates services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
8. Arranges the availability of audio-visual equipment, transportation, displays, and other event needs.
9. Inspects event facilities to ensure that they conform to customer requirements.
10. Maintains records of event aspects, including financial details.
11. Conducts post-event evaluations to determine how future events could be improved.
12. Negotiates contracts with such service providers and suppliers as hotels, convention centers, and speakers.
13. Meets with sponsors and organizing committees to plan scope and format of events, to establish and monitor budgets, or to review administrative procedures and event progress.
14. Supervises catered parties as needed.
15. Supervises the wait staff.
16. Staffs banquets to include scheduling and assigning staff to work stations.
17. Adheres to all restaurant policies and procedures paying special attention to health and/or safety procedures.
18. Reports any problems or discrepancies to management immediately.
19. Directs administrative details, such as financial operations, dissemination of promotional materials, and responses to inquiries.
20. Evaluates and selects providers of services according to customer requirements.
21. Reads trade publications, attends seminars, and consults with other meeting professionals to keep abreast of meeting management standards and trends.
22. Hires, trains, and supervises volunteers and support staff required for events.
23. Supports the sales team with writing and maintaining business reviews and sales presentations creating/preparing PowerPoint presentations.
24. Assists clients with questions pertaining to sales and marketing.
25. Prepares, reviews and submits staff expense reports as a proxy on a monthly basis.
26. Handles phone call management for the senior vice president, national sales and vice president, national sales.
Supervisory Responsibilities:
Directly supervises minimum of five employees in the Events Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Language Ability:

Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge of word processing software, spreadsheet software, accounting software, inventory software, internet software, order processing systems, and contact management systems.
Education/Experience:
Bachelor's degree (B. A. / B. S.) from four-year college or university; and four to six years related experience and/or training; or equivalent combination of education and experience.

Pay: $24.50 - $27.00 per hour
