Velonex Technologies is looking for an IT Procurement and Admin Clerk. The person in this role will be responsible for timely and accurate sourcing, quoting, receiving and general product support related to computer systems, hardware, or software for both our Managed Service client as well as internal use. Key responsibility is also to manage all support and license renewals This person would ideally have experience in IT procurement with an MSP, must be able to work well under pressure, work independently and think creatively while also still taking direction, be punctual, and have excellent verbal and written communication skills and accurate attention to detail. Must be able to work 100% at the San Antonio office.

Summary of duties and responsibilities (not comprehensive of all tasks):

1. Monitor and track process to ensure all steps have been completed from quoting to purchasing, receiving to delivery, and invoicing by all task owners.

2. Monthly client service agreement invoicing.

3. Prepare quotes in ConnectWise Sell for Hardware, software and projects based on SOW from engineers.

4. Track and manage all license, warranty and support renewals for clients and company.

5. Receiving in ConnectWise Manage and tagging equipment, track deliveries - receive and document in CRM.

6. Maintain product listings, with price and cost information.

7. Work closely with Service team to identify and quote products refresh and replacement opportunities.

8. Research the market for the highest quality products at the lowest possible price.

9. Implement process improvements for better efficiency and documentation.

10. Prepare RMAs as needed.

11. Develop and improve vendor relationships.

12. Generating and processing invoices accurately and in a timely manner.

13. Verifying invoice information and resolving discrepancies with vendors or customers.

14. Coordinating with internal departments to ensure accurate billing and payment processing.

15. Following up on outstanding invoices and assisting with collections activities.

16. Maintaining invoice records and documentation for audit purposes.

17. Assisting with financial reporting and analysis related to invoicing activities.

18. Providing exceptional customer service and resolving billing inquiries.

What you need to succeed (minimum qualifications):

· Experience working with technology environment; pricing & quote preparation experience a plus

· Experience working in a Managed Service Provider (MSP) is ideal

· Experience working with a ticketing system

· Working knowledge of the Microsoft Office suite and Windows based computer applications

· Communicates professionally, persuasively, and personably with vendors and clients via phone and email.

· Experience in IT procurement or purchasing role is preferred.

Physical Requirements:

· Stand/sit/walk for extended periods of time.

· Ability to lift/push/pull 40 lbs.
