Job Summary:

The Secretary provides secretarial support to administrators within an assigned school or department (Office, Library, Counseling, Attendance, Data Entry). The Secretary provides secretarial support in an office environment. As a member of the school's administrative support team, this role may also assist with any projects or tasks related to the goals, objectives and programs of the building or department assigned.

Essential Job Functions:

  • Receives and screens visitors, staff members, telephone calls and incoming mail, personally responds to inquiries by making decisions which in the employee's judgment do not require the supervisor's attention.
  • Maintains accurate sign-in book for visitors
  • Maintains student record management system.
  • Organizes the flow of correspondence and other pertinent data, establishes and maintains a filing system that provides for the efficient operation of the department while maintaining confidentiality.
  • Prepares, produces, and makes appropriate distribution of all correspondence, including letters, handbooks, memoranda; reports, recommendations, notices, orders, requests, schedules, etc and any other necessary informational items.
  • Prepares necessary informational materials for the department for which they are assigned, i.e., completing necessary paperwork for substitute teachers, assigning bus drivers to field trips.
  • Prepares the monthly annual reports and records in compliance with auditor's regulations.
  • May assist with registration procedures for new students.
  • May process and submit monthly staff payroll information
  • Writes tardy passes for students.
  • Performs other duties as assigned.

Knowledge, Skills and Abilities:

  • Understanding of common office procedures, including filing systems, scheduling, travel arrangements, and expense reports.
  • Proficiency in using Google Applications (Gmail, Google Drive, Google Docs), Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office software programs.
  • General knowledge of the organization's structure, policies, and procedures.
  • Ability to perform detailed work involving written or numerical data
  • Demonstrates general office practice, general accounting procedures, business English, and record keeping methods, practices and procedures
  • Demonstrates clerical/payroll/accounting terminology methods and procedures
  • Ability to prioritize tasks, manage multiple deadlines, and maintain an organized workspace.
  • Skill in identifying and resolving problems independently and efficiently.
  • Excellent written and verbal communication skills to convey information clearly, concisely, and professionally.
  • Ability to interact with colleagues, clients, and the public in a courteous and helpful manner.
  • Ability to work effectively with a variety of personalities and build positive working relationships.
  • Strong focus on accuracy and a keen eye for detail in all tasks performed.
  • Ability to manage multiple tasks simultaneously and prioritize effectively under pressure.

Education and Experience:

Required

  • High School Diploma or GED
  • Two (2) years of experience in an administrative role, ideally within the Education industry

Preferred

  • Associate's Degree in Business Administration or related field

Employment Terms: Employment will be offered as a 12-Month (243 day), at a minimum of 7.5 hours worked per day. This position is evaluated annually.
