Position Summary
The Vice President of Facilities and Administration will report to the President as a member of the Executive Cabinet. The VP will supervise the Administrative Functions of the college (including, Business Office, Information Technology, and Safety/Security/Police) with a significant emphasis on directing the Physical Plant, Facilities, Custodial, and Capital Projects functions.
Essential Duties and Responsibilities
- Collaborates with academic leaders, faculty, college directors, co-curricular offices, and other relevant stakeholders to ensure consistent operation of college administrative functions.
- Utilizes appropriate technologies for campus communication and administrative services.
- Assists in ongoing training and educating the college community in best practices for all responsible departments.
- Exercise effective leadership with diverse groups in a community college environment.
- Understand and follow oral and written instructions and to keep accurate records and detailed reports.
- Establish and maintain effective working relationships with college employees and external agencies.
- Maintain amiable personality; enthusiastic, positive attitude; evidence of trustworthiness and ethical conduct; effective communication and interpersonal skills.
- Uses a holistic advising approach working with other college staff to establish individualized, collaborative relationships with stakeholders regarding activities within all responsible departments.
- Coordinates project management, event planning and assessment, and deferred and preventative maintenance.
- Coordinates and plans for capital improvement projects within the scope of the annual budget.
- Oversight of the daily operations of the college's Business Office, Information Technology Department, Police Department, Campus Safety and Security, and Facilities and Capital Projects.
- Supervises Director of Financial Services, Director of Information Technology, Direct of Campus Safety, Chief of Police, and the administration of all of the Facilities, Custodial, and Maintenance Departments.
- Coordinate with Business Office in oversight of Auxiliary Services.
- Ensure compliance with all state, federal, and institutional audit requirements.
- Formulates with the Executive Cabinet recommended policies and procedures governing facilities and maintenance services.
- Provides financial updates to the President on a regular basis to allow for financial planning and budgeting.
- Assists the President with College construction projects including architect selection, construction plans, bid approvals, Public Works Projects, and all phases of the construction and facilities operations processes.
- Ensures the College's technology infrastructure and network are in positioned to maintain the colleges' business.
- Ensure proper implementation of policies and regulations for the College's IT department.
- Ensure accurate inventory of all technology equipment and related parts.
- Develop and implement a strategic vision for campus safety and security aligned with the college's mission and values.
- Lead and manage a team of security personnel and safety officers, providing guidance, support, and professional development opportunities.
- Oversee the operation of campus security systems, including surveillance cameras, access control systems, and alarm systems.
- Establish and enforce campus safety policies, procedures, and protocols in collaboration with senior administration, legal counsel, and relevant stakeholders.
- Foster positive relationships with campus community members, local law enforcement agencies, and external security partners.
- Participates actively in professional, civic, and educational organizations, agencies, and activities that benefit the College and community.
- Serves on executive and related committees and contributes to the development of long-term objectives.
- Assists the President in preparing reports and policy statements as required for ACCS, the College, and other external organizations.
- Formally represents Snead State when requested.
- Represent the College on committees and at meetings pertaining to areas of responsibility.
- Advise College President and other members of Executive Cabinet and the College Strategic Leadership Council on matters pertaining to areas of responsibility.
- Remain current on trends, policies and procedures pertaining to areas of responsibility. Fosters a customer service environment for fellow employees, students, and visitors. Be an Ambassador for the College. Supports the college's initiative to maximize retention of current students and enable students to finish their collegiate goals.
- Complies with all policies of the Alabama Community College System Board of Trustees, the ACCS Chancellor's Office, and the College.
- Participates in College functions (Award and Honor events, Alumni Homecoming, Commencement, etc.).
- Travel as needed.
- Perform other duties as assigned by the President.
Qualifications
Minimum: Bachelor's Degree (in Architecture, Construction Management, Engineering, Building Trades, Business Administration or a related field is highly preferred) with at least five (5) years' experience in construction project and facilities management required, along with 10 years of increasing administrative and supervisory experience in higher education directly related to the duties and responsibilities specified. Proven experience in understanding and applying compliance to SACSCOC Standards relating to areas of responsibility. Experience in operational and strategic planning as well as budget development. Understanding of the general daily operational supervision of the college Business Office, Information Technology, and Campus Safety/Security. Ability to effectively communicate ideas and information in written and oral format.
Preferred: Master's degree in Architecture, Construction Management, Engineering, Building Trades, Higher Education Administration, Business Administration, or a related field. Advanced knowledge of materials, methods, equipment, and practices used in maintenance, construction, and cleaning operations and the daily supervision of higher education administrative functions.
